Community Services Representative

Community Services Representative:

You’ll be stationed at the gatehouse and through-out the Scottsdale Shadows Community to greet, authorize and document guest vehicles and conduct walking and golf cart rounds to identify, resolve and report issues within the assigned duties.

Director of Administrative Services

Director of Administrative Services:

RESPONSIBILITIES:
1. Administrative Leadership

a. Meet all required administrative activities named within management contract.
b. Provide a welcoming, professional environment at all resident-facing touch points recognizing the need to serve a diverse population in a 24 x 7 environment.
c. Utilize best in class technology to streamline communication pathways, optimize employee time resources, and minimize needless complexity and redundancy.
d. Strictly maintain appropriate level of employee and resident confidentiality.

2. Community Services Leadership

a. Meet all required associated activities within management contract.
b. Lead recruitment, onboarding, continuing education, and evaluation for staff.
c. Maximize use of best-in-class technology to control visitor and contractor access to property, administration of rules and regulations and record keeping.
d. Strictly maintain an appropriate level of employee and resident confidentiality.

3. Vendor and Supplier Management for the Administrative Office

a. Meet all required associated activities within management contract.
b. Consistently source for best available vendors and contractors and negotiate pricing appropriate to the needs of the community.
c. Foster relationships to maximize economy of scale available when all 7 associations use common sources.

4. Community Relationships

a. Meet all required relationship activities named within management contract.
b. Select, train and evaluate colleagues based upon advanced relationship talents.
c. Utilize best in class technology to streamline resident communication pathways.

5. Human Resources and Safety Management

a. Meet all required human resources and safety activities named within management contract.
b. Conduct employee and resident safety programs as appropriate for the Administration team.
c. Develop Administrative team job descriptions for each position and ensure annual evaluations dovetails from expectations as described.
d. Execute a strict and ongoing recruitment, selection, onboarding, continuing education program for all levels of employees.
e. Develop and deliver a detailed, written account to the employee when a performance issue arises. Name expected improvement and track outcome to required improvement or termination of employment.
f. Evaluate employee census and realign HR budget. When possible, use attrition to right size skill sets as priorities change or as process improvements reduce required effort.

REQUIRED KNOWLEDGE, SKILLS and EXPERIENCE:

• Minimum 5 years of business, leadership experience; effective in motivating and building strong teams.
• Proven project management and high-level technology skills including common office, database, webhosting, video conferencing, newsletter and recruitment applications.
• Strong internal/external customer relation skills to communicate with all levels of management, employees, homeowners, and other stakeholders.
• Ability to work with confidential/sensitive information and use diplomacy and discretion in communicating such information.
• Proven track record of developing, implementing and tracking effectiveness of policies and procedures to consistently reach expected outcomes.
• Professional business image.

EDUCATION AND CREDENTIALS

• Bachelor’s Degree or comparable education and experience required.
• High School Diploma required.

STRUCTURE: There are 828 condominiums within the 13 Scottsdale Shadows buildings which are arranged in seven separate associations. Each association owns a proportional share of the umbrella organization, Recreational Center, Inc (RCI). The purpose of this not-for-profit Arizona Corporation is to hold ownership and manage the commons properties of Scottsdale Shadows and to fulfill all obligations of the comprehensive Master Contract between itself and the seven associations. In order to execute on these responsibilities, RCI employs staff including the General Manager.
Each association appoints a delegate to serve on a 7-person Board of Directors (BOD). Their duty is to ensure all elements of the Master Contract are being upheld, maintenance of the common elements, and authorize financial, operational, and administrative initiatives when presented in writing by the General Manager (GM). The GM is responsible to the BOD and reports directly to the President of the Board.
